Always having issues with them

I have been using different offices in different cities, and while I like the flexibility, I have not been happy with the overall service. This has nothing to do with people at the reception, as some of them, in particular, have helped me multiple times. It is more that Spaces is not transparent with their prices, their invoicing system is confusing (and I was not explain this properly when I asked them at the beginning), and what you get largely depends from office to office (for example, some office offered me unlimited free coffee and tea and in some, I had to find out the hard way that I had to pay extra for the same). But my biggest issue is their paying system. I have been paying my monthly membership regularly and on time, every month following exactly their instructions. Yet, in the past 5 or 4 months, they keep having issues with my payment. And always a different issue! Every month, I have to go through customer service to prove that I have paid. Last month, I uploaded my payment proof directly on the portal and still, there was a problem. As I said, every month it's a different kind of problem, even though I'm paying the same way, following what is written in the invoice. It is such a waste of time and nerves. Finally, once I contacted their customer service regarding one of the payments they lost or couldn't see. The person on the other side did not understand my question and answered something that made no sense. When I answered that I have serious concerns regarding my account and membership, they just ghosted me. All in all, if you're a freelancer who is already managing every aspect of the business on your own, avoid Spaces and go to a coworking that is much more human and understanding.

Hi, I’m sorry to hear about your dissatisfaction. Regardless of the reason, I understand how frustrating it can be and apologize if we haven’t provided you with the level of service that you expect and deserve from us. At Spaces, we work hard to ensure full transparency in our invoicing process. The monthly charges you can see on your invoice are made up of an advance rent payment plus payment for services in arrears. All your invoices are available in your online account (Account section) and they are payable no later than 15th of the month. We provide the coffee and tea service at a small monthly fee and if you need this service, you can always inform your local community team to opt it into your account. For the convenience of our customers, we have a fully automated payment system which has received good reviews. I’m sorry if you find it difficult. I’d love to further help you but you’ve posted anonymously, which stops me from being able to contact you and put the matter right. Please can you email me at Michelle.Spire@spacesworks.com with more details, such as your company name and/or account number? This information is available on your invoices. Thank you, Michelle Spire Assistant Global Customer Service at Spaces

Proceed with caution if you need to access government networks

*Update* Thanks to Spaces for sending a response to my review. I've changed my review title to reflect my situation, which is specific to compatability with using a government network. In addition to the response below, I've had a more detailed email conversation with a customer service representative in which I told the story of spending time with my government department's IT helpdesk on my first day at Spaces. What was thought to be a troubleshooting issue with my machine turned out to be incompatibility with Spaces wifi due to insufficient security. The response from Spaces below does give information about a very secure network indeed! Whether it describes the newtork I was trying to use for external access from West Regent Street, I have no idea. In any case, I need to trust the advice of my IT colleagues and my own experience of not being able to work at Spaces because of security and/or incompatibility issues. What's more striking than the wifi issue now though is the level of attention and number of responses I'm getting from Spaces after I cancelled my membership and after I left a 2 star review. I've had emails and phone calls in addition to this response. While I had my membership, I spoke to front of house twice and customer services once. In fact, the first internal customer service review I left after I started my membership detailed the issues I was having and for which I left a low satisfaction score. The response I got from front of house was to please change the score because it is how they, as receptionists, get evaluated for their performance regardless of my issue being about the wifi. I was assured the comments I made in that review would be sent to someone up the chain, but they could not tell me who I would hear from about it because they were not sure themselves. Needless to say, no one ever contacted me to discuss and a second conversation with front of house about whether or not I could access a different network just resulted in a simple 'no'. Again, calling customer service wasn't any more helpful as their response was that I could visit all the Regus sites in the city to find out if I could get online with government machine :/ While I appreciate the response Spaces has provided about the security of their network, it has come as a defensive move and much too late. If responses to my concerns at the time had been around trying to help me find a solution, I may have kept my membership. I think the way in which all this has been handled is the bigger cautionary tale for anyone thinking about using Spaces. Other actual customer reviews here paint a similar picture. Consider the city libraries and community spaces first (for starters, Mitchell Library and Centre for Contemporary Art are nearby and offer spaces to hire. They also have great cafes if you need to work solo. The library at Gallery of Modern Art is nice and has a cafe attached.) If they don't have the security needed for goverment networks, you can channel *much less* money to data for phone tethering or mifi, both of which are likely to be allowed for access to government networks. *Original review*The space at West Regent Street in Glasgow is gorgeous and the front of house staff are fantastic. There is an accessible entrance and accessible toilet as well as a cafe. However, the wifi is completely insecure. As a government contractor who must work on a secure network, I ended up having to cancel my membership, (which had a notice period.) Conversations with front of house and customer services made it clear to me that no one really understands the internet facilities they provide. When I raised the issue of the insecure network with on site and remote staff, they were either surprised or confused at what I was talking about. No one I spoke to knew anything about their internet provision or could tell me if any other sites in the city had a secure network (I was told I could visit each one to find out and there is no option for members who need secure connections.) It didn't occur to me a place with such an expensive fee would not provide a secure connection so hands up- I didn't investigate it before I took out the contract. In any case, speaking to staff about it would not have helped so I suggest visiting a site to check the network yourself before locking anything down with Spaces. If you can spring for additional costs of mifi or mobile data, you can tether and get a more secure connection than Spaces provides. But then what's the point of the membership? FWIW, Glasgow public libraries also provide gorgeous accessible spaces with insecure wifi, but they don't charge hundreds of pounds for the pleasure.

Hello,I apologise if you are not completely satisfied with the centre’s WiFi. We can assure you that Spaces’ network is secure; clients connected to the communal VLANs, i.e. OpenPort and Spaces WiFi, have ports blocked in line with International Standards. All inter-VLAN traffic in these two communal VLANs are blocked except for traffic going to the shared resource VLAN, i.e. centre shared printer. This means although they can see other users, they won't be able to communicate or access them. Any attempts done to communicate will be dropped. To sum up, it is secure based on international standards, which makes it much more secure than the local library, for example.I have asked a member of staff to contact you directly to answer any further questions you may have; they are your key contacts here and will be happy to assist you further on this matter.Best,Michelle SpireAssistant Global Customer Service at Spaces

They won't return your deposit

It's been almost three months since I asked to return my deposit back. Spaces is the most incompetent, irresponsible, and slow organization that I've ever dealt with. I rented a dedicated desk for a month and the sum of my deposit is not that big. Can't imagine how people trust Spaces with contracts for a longer period of time. It's a huge loss of money

Avoid renting from here AT ALL COSTS

Avoid renting from here AT ALL COSTS. I have been completely dissatisfied renting from spaces since day 1. When I was first sent documentation I was made false promises. Firstly, the advertised pricing is a lie and a scam, they advertise you can rent office spaces starting from $290CAD, but the small closet office space I’m renting is over $700 a month which Is taxed but they refused to give me a releve so I could claim the taxes and some rent to deduct off my taxes since That is the LAW. They said they do not provide those slips. I’ve been trying to get out of this contract for almost a year and they also refuse to let me have someone do a lease takeover they will only let me sublet but if that person doesn’t pay then I will be stuck paying. Also before signing we agreed to do manual payments but they continued to take out money automatically when I already payed resulting in me paying $1400 in one month THREE TIMES and refused to reimburse me because they said it would take the same amount of time to reimburse as it would to pay next months rent. The contract also states rent is due the first of every month but they ask you to pay the 15th half a month ahead of time and will harass you with emails until it is paid. I was promised high speed internet and the internet is NOT high speed it is constantly failing turning on and off, not recognizing my devices, resulting in me being unable to communicate with my clients, I’ll be waiting for my client to alert me on their arrival but since there is almost no service In my room and the wifi often turns off without warning my client ends up waiting for up to 30 minutes in the lobby or outside. The receptionist will sometimes email me but I won’t get the email because the wifi cut off. I have lost clients as a result to this. There is sooo many more reasons I have not to rent here. DONT DO IT!!!!!

Tania · 13 June 2022

Agent replied · 11 June 2024

Hi Tania, I’m sorry if you felt the need to escalate this as your local team and the account helpdesk have previously assisted with these concerns. Our online pricing is most certainly not a lie or a scam. The prices advertised online are for the most cost-effective options of the various products available at your centre. After you visited the centre and were given the costs involved for your specific requirements, you were happy to sign your agreement. We are fully compliant with all local tax legislations and your local team addressed this query when you initially raised it with them. Please remember that you can download additional tax information relating to each of your invoices through the ‘invoices and transactions’ area of your online account.Your current agreement will expire on August 31, 2023. It is a formal, business commitment. We partner with our customers to help them run and grow their business, but we also have a business to run and cannot cancel agreements. Some advanced warning is necessary should you wish to end with us, and it should be no less than the agreed term and specified notice detailed in your agreement. Our local team have discussed this with you, and we apologise if our available options do not suit your needs. Our invoices are billed monthly in advance with a due date of the 15th of the following month and we make no secret of this. This has been explained to you previously as have your payments. In order to issue a refund on account there first needs to be a credit balance. If you look at your statement of account you will see there has never been an overpayment to refund. The account helpdesk provided information in relation to this and assisted with the request you had in relation to your automated payment method. We fully understand the importance of a stable internet connection and we apologise for any disruption you experienced previously. Your centre manager assisted with this and has not been made aware of any ongoing issues. The local Spaces team leader has contacted you directly to discuss your concerns and remains your point of contact in relation to these matters. Pros- great location, close to the station. Good break out spaces (when you're allowed in and not kicked out for 'filming'), reasonable sized private offices, front desk staffed most of the day, cleaners are good, nice decor Cons - very limited bike storage, no extra spaces for bikes in July before people have returned to the office after lockdown. (also reeks of urine everyday- don't let guests come with bikes). Aircon is constantly broken, small problems take weeks to get fixed, no microwaves (!?) in the kitchen and not allowed. Perhaps a good starter office or if you need in-between space for a couple of months

A positive reply always helps …

Let’s start with the positives. The reception team are great. Very helpful, friendly and professional. Cannot fault them. The facility in Sutton is great and was really busy. It was quiet and the tech facility worked well.I find it really odd that booking online is so heavily discounted from booking in person. Even more bizarre that into todays tech based age you can book a room without any WiFi - it never occurred to me to check!! By all means charge me for it and make it available but to not provide it is ludicrous.Just a note to thank Spaces for their positive response - it’s really helpful.

Hi Ronald, We are concerned to read your comments, particularly as they include serious allegations. Having checked your records, I can see that at least three invoices were previously pending in payment. As a result, your account had outstanding overdue, and emails were sent to notify you regarding failed payments from the payment card set up on account for automated deductions. We can confirm that you have cleared the outstanding now and overpaid as payments were auto deducted and paid manually separately, leading to overpayment on account. One of my team members has already requested the refund form to be completed to assist with the refund; however, we did not receive your response. Our team are always available to support our customers with payment, billing and account-related questions.   This allows Centre Teams to focus on your well-being and ensuring you get the most of your workspace as well as your community. Please remember that you can check your agreement, amend services, make meeting room bookings, review and pay all your invoices at any time through your online account, available at myspaces.com. You may also query our AI chatbot ‘Aurora’, through your online account.  A member of our team has emailed you separately to assist with the overpayment refund. Please follow up with them. Extremely disappointing experience. We ended our co-working contract and returned all keys at the end of October 2024, yet we were still sent an incorrect invoice for November and December. Our deposit has not been refunded, even after multiple follow-ups. Their account service line is never reachable, and messages sent through their online system are completely ignored. No one takes responsibility, and the lack of communication is unacceptable. Don’t be fooled by the stylish location or fancy decor, the management is chaotic and unresponsive. We’re just glad we left early. Avoid this place if you expect transparency and basic professionalism.

- Heating has been out for weeks during winter.- Wifi doesn't work for weeks at a time.- Elevators are constantly breaking down.- Front desk 'customer service' refuse to take ownership of problems raised and are deliberately obtuse.Response to Spaces reply:- These issues are being raised in a public forum because they are not being actioned.- "Highest standards" are clearly not assured.- "Escalated" apparently means "ignored" at Spaces.- The "community manager" confirmed that he is doing nothing to resolve the problem and discouraged tenants raising and escalating concerns.

One-way by Spaces

Let's say first of all that the local people of SPACES The Docks are super! Transparent in communication and tackle it immediately. However, if you go the extra mile, SPACES is unreachable. SPACES is absolutely not flexible towards their customers. But apparently find it very difficult to keep to their own agreements. For such a large organisation, this is really disappointing. There is never any reaction from the organisation itself and it is difficult to keep appointments. Fortunately, the local support is super.

Good properties, poor service infrastructure

Facilties are mostly excellent. Staff is trying to be helpful but limited by way of how IWG is structured; the billing and access systems are overly complex resulting in delays to get started in the morning. Worst of all, invoices are obtuse and difficult to reconcile against what actually has been agreed. The lack of a dedicated account manager to help navigate through issues excacerbates the problems as each email in a chain is dealt with by a different agent.Addendum 18:32 post response below from Sandra:I emailed you as requested - received a prompt automated message that this email address does not exist.
