We entered into a 12-month agreement for Fixflo Professional + Aidenn believing the service, including the Contractor Marketplace, would provide a practical and commercially viable solution for our property management business.
Unfortunately, our experience has been very different.
We repeatedly experienced poor contractor response rates, difficulty getting jobs accepted, and quotations that were significantly above the rates we would normally expect to pay. In some cases, work we would usually expect to cost approximately £80, £100 was being quoted at around £300.
Because of these issues, the system became commercially impractical for us to use and was significantly underutilized.
We raised our concerns directly with Fixflo and subsequently instructed our solicitor to correspond with them. Our solicitor specifically raised concerns regarding reasonable care and skill, the practical operation of the Contractor Marketplace, and whether the ongoing issues justified an early termination or other commercial resolution.
Fixflo's legal team has rejected our position and maintains that we must continue paying for the remainder of the minimum contractual term. Their position is essentially that the contractors are independent, contractor pricing and availability are outside Fixflo's responsibility, and that the agreement does not guarantee response rates, pricing levels or that the service will meet a customer's particular requirements.
While that may be their contractual position, from a customer's perspective it is extremely disappointing to be paying for a service that we have found unsuitable for our business, while being unable to reach a reasonable commercial agreement to exit.
We offered several possible resolutions, including a partial refund, reduced future fees, waiver of charges or an agreed early termination. All were rejected.
Businesses considering Fixflo should therefore read the minimum-term provisions and limitations in the contract extremely carefully before signing, particularly if the Contractor Marketplace is an important reason for taking the service.
Our experience has left us very disappointed with both the value of the service and the way our concerns have been handled.

The biggest issue came when we reduced the package we were on. Without making it sufficiently clear at the outset, our CRM integration was removed. This left us with a system that no longer met our operational needs, despite us still being in contract.
Trying to resolve the issue was almost impossible. Phone calls went unanswered, managers failed to take ownership, and getting a meaningful response was incredibly difficult. Support was painfully slow, and whenever we needed assistance beyond the basics, the answer seemed to be that we'd have to pay extra.
When we attempted to reinstate the integration, despite already serving our cancellation notice in accordance with their very specific contractual requirements, we were told the only option was to commit to another 12-month contract. That wasn't a solution, it felt like an attempt to trap us for another year.
The whole experience has felt less like a software partnership and more like a contract prison. The emphasis appears to be on keeping customers tied into agreements rather than providing a service that makes them want to stay.
Customer service has been consistently poor. Management have been ineffective, accountability has been virtually non-existent, and unless you're looking to upgrade or spend more money, it's incredibly difficult to get anyone to engage with you.
There are far better maintenance platforms available that understand customer service, transparency and long-term relationships. We have since moved away and would strongly encourage anyone considering Fixflo to carefully read the contract, understand exactly what functionality is included at every package level, and think twice before committing.
Based on our experience, I cannot recommend Fixflo.

The call out charge was £400 which is extortionate. I did not receive any prior notice that the tenant had reported an issue or a cost estimate prior to the job so I had no idea there was an issue and that Flixflo would send a contractor without my knowledge.

Fixflo provides the software used to report maintenance issues, but we don't appoint contractors, approve repairs or set pricing. Those decisions are made by the letting agent or property manager using our platform.
We understand your frustration and recommend speaking with your letting agent, who will be able to explain how the repair was authorised and the charges incurred.

The main issue was around their auto-renewal process. Despite being a long-term customer, we found ourselves locked into a renewal after missing the cancellation window by just a few days. There was very little flexibility or understanding shown, which felt particularly frustrating given our history with the platform.
It feels like the focus is more on contractual lock-ins than on retaining customers through service and value.
What’s more concerning is that many modern CRMs are now building strong, integrated alternatives, often with more flexible terms and a more customer-first approach.
For other agents: be very careful with renewal terms and deadlines, as there appears to be little room for discretion once they pass.
Unfortunately, this has significantly impacted our trust in the company.

As a long-time user of Fixflo, I feel the system is beginning to feel dated, particularly given the advances in AI and technology more generally.
The MI reporting is not especially intuitive. Reports often generate as spreadsheets with numerous unnecessary columns, meaning users have to spend time deleting and reformatting data before it is useful. This is time-consuming and not particularly user-friendly.
It feels as though Fixflo has perhaps rested on its laurels a little. The system now needs to be taken to the next level, with better use of AI to improve reporting, automation, usability and efficiency. I am hoping they are working on advances in the background.

We have been with Fixflo for several years and overall the software itself is very good. However, our experience with their customer service has been extremely disappointing.
We previously tried their contractor call-out service but found the charges to be excessively high. We therefore decided to stop using the service and advised them on the phone & switched the feature off via their online portal. Despite this, we later discovered that we had continued to be charged for a further 14 months for a service we were no longer using.
We contacted Molly Hayman requesting a refund of approximately £1,300 for these charges. We were then advised that Fixflo “do not get notified” when customers switch the feature off themselves, which is difficult to understand considering their entire business model operates through their online platform.
I have emailed Molly three times regarding this matter and received only one response. It has now been over a week without any further reply. I have also asked for confirmation of the notice period required to cancel the service entirely, again with no response.
It is incredibly frustrating that there appears to be no direct phone support available, and communication is handled solely online. While the software itself works well, the lack of customer service and failure to deal with issues in a professional and fair manner is very disappointing.
I would strongly advise other customers to carefully monitor any additional services activated on their account, as resolving issues afterwards appears to be extremely difficult.

GoogleExtremely rude and poor service received from "Myles the recruiter" that' is the name he goes by on linkedin. I got two phone calls in the space of 30 min from two different people, discussing my application that I made 3 weeks ago. When I asked Mr Myles to explain what had been the delay he was hesitant to answer and tried to get out of it saying he didn't receive anything. When I tried to explain the events and provide application reference number etc, he wasn't interested and asked me why I was so concerned and when I tried to highlight and explain the concerns and levels of service being received, he was talking over me and told me "I am doing you a favour" "you don't pay our bills" I had to then take him back to basics and remind him they get paid once we are placed successfully hence we do pay their bills as without us they would not exist and neither would the business or the companies that work with them. On this occasion I had to let them know that the levels of customer services were far from perfect and communicating in this manner is totally unexceptable, I am hoping the top management do take reviews seriously and look into this.

The web application is average but it works but the phone app is so bad it can not be expressed in words, as an contractor I have not choice but to use this and just like the rest of lettings agents don't give a flying monkey how we can struggle with this piece of rubbish. All they can do is to answer with kind words but they (fixflo) don't care about the problems we go through, they get their money from the agencies so (swear word cos otherwiseis not alowed) the rest of us. There is nothing in this company that can be said in the good way. If I had only just about 70% ratings right, I would be absolutely worried my company is doing something very wrong. We (the contractors) need to do something to shut this cons down.

It's very telling that the positive reviews are principally from lettings agents and the negative reviews are from tenants and contractors.
I have told my lettings agent a few times that FixFlo is awful, but they seem to just ignore me. I still have to use it. Thankfully I am in the process of selling my property so I won't have to suffer it much longer.
Here is my review from the perspective of a landlord.
Firstly, FixFlo answers a question that nobody asked. Nobody ever said that communicating with their agent is too convenient and easy, we wish communication could be more cumbersome and frustrating. My agent says that FixFlo is the "leading maintenance software in the UK." It's like saying FixFlo is the leading cat skateboard in the UK. Nobody needs FixFlo. it serves no purpose from a landlord's perspective. I have three properties, the agent for one of them uses FixFlo. It is far easier to manage maintenance by email with the other agent. For me as a landlord, FixFlo adds absolutely zero value. It is of no utility. It is a burden. It ought not to exist even.
My issues with it in no particular order are as follows
I do not exist as a user on FixFlo. If I go to my agent's FixFlo portal I cannot log in and see all my issues. I can only log a new fault. I don't know how, I don't actually need to log a fault, it is possibly geared towards tenants and my review is from the perspective of a landlord.
If I want to see my issues I need to go and find an email about an issue (at this point it is already preferable if my issues are just in email.) I need to click the link, wait to open the page and see that the link is expired. Wait for a new link to arrive, again by email, then click again. Fixflo calls this a "magic link." It is not in any way magical, it is tedious and circuitous.
That is how you access FixFlo as a landlord. Has anyone ever drawn this workflow on a piece of paper to consider how ridiculous it is?
Compare it to email. The issue is in an email conversation right there and I am always logged in to my own email. None of this repetitive login theatre.
First thing you notice about your FixFlo issues. They are back to front. The ones on the first page for me are the issues that were closed 25 months ago. There is no option to sort issues, your open (in progress) issues are right at the bottom of the final page. It's just more clicks to get where you need to be.
Open your newest issue. Close it using the back button built into the platform. Where do you go? You go right back to page 1. Back to your issues that were long since closed again. Surely that is UI design 101. You click back, you go back to the previous page. Not all the way back to the start.
More clicks again to get you to the end where your open issues reside.
Open a current issue. You can read comments in a narrow pane in the middle of the screen, It is about a third of the screen height. So you cannot really read comfortably or meaningfully like you can with any email app.
All but the shortest comments are collapsed, so more clicking to expand them. I see most of the comments made in my portal require scrolling to read the entire expanded message due to the narrow letterbox shaped reading space.
Remember email is designed for being read. Another reason FixFlo is not as good as email.
Below the comments there is a single row to type a new comment.
The unclever thing about this. Nobody has ever tested this on a mobile phone. You will just spend forever staring at the screen wondering how to reply to the comments.
I have previously updated an issue in FixFlo only for nothing to be actioned. I emailed my lettings agent to see if anything was being done and I was told "Sorry I did not see the reply in FixFlo." It is a communication medium that is not particularly geared towards communication.
I cannot see any way in which FixFlo is not inferior to just managing conversations by email.
The TrustPilot reviews seems to indicate that lettings agents tend to like FixFlo. However contractors and tenants (and now this landlord) do not. I presume it is agents that pay for the license so if FixFlo only bothers to make it good for one class of user then it makes sense that it is for the user that pays.
Lettings agents, take note. Using FixFlo will reflect badly on your company, I have told my lettings agent this. I think less of them because of this hopeless platform that they insist on using. It is detrimental to your brand. Imposing a badly conceived platform like this on your clients only frustrates and annoys them. Literally nobody ever said they love working with their letting because they use FixFlo. Landlords like me do like efficient and prompt comms. Not going around the houses to manage issues.
Update 2 September. Fixflo has now added the missing email to their reply but I see no merit in contacting them. My review is sufficiently specific.
